Mouser Electronics, Inc. (“Mouser”) is committed to complying with applicable data protection and privacy laws and standards and takes its responsibility regarding information security very seriously. All personal data collected by Mouser through the recruitment process is managed in accordance with this General Employment / Applicant Privacy Policy, and in compliance with the General Data Protection Regulation (GDPR).

“Mouser” (referred to as “we”, “us”, “our” or “Mouser” in this policy) is the “data controller” of all personal data that is collected and used concerning Mouser job applicants.

The data protection rules require that personal data we hold about you must be:

  • Used lawfully, fairly and in a transparent way.
  • Collected by us only for valid purposes that we will clearly explain to you in this policy and not used in a way that is incompatible with those purposes;
  • Relevant and limited to the purposes that we will tell you about, and sufficient to meet those purposes;
  • Accurate and, where necessary, kept up to date;
  • Kept only for as long as necessary not to exceed 6 months (from the closure of the recruitment campaign) unless otherwise required by law.
  • Kept securely.

Personal data means any information relating to you, which allows us to identify you, such as your name, contact details, education, qualifications and work experience. We only collect that personal data which we need to fulfil the purposes outlined in this policy and we will not retain it for any longer than is necessary (six months at a maximum, from the closure of the recruitment campaign).

The information you provide us during the recruitment process is used to assess your suitability for employment. Our use of this information during this process is based on your consent. We may collect personal data from you at the application stage, when shortlisting applications for an interview, during the interview and the assessment of your profile for the position, and when making a conditional and / or final employment offer.

We will perform employment history and reference verification. All checks are fair, consistent and limited to information directly relevant to the position applied for and in pursuance of our legitimate business interests. Specifically, we may collect the following categories of information (or everything you provide us with):

  • Personal details including name, contact details and a photo;
  • Previous experience and employment entitlements, education, qualifications, CV, licences and answers to questions relevant to the position you have applied for;
  • Information provided when completing assessments or profile questionnaires and/or notes taken during an interview;

The processing of your personal data within the scope of the application process is based on Article 6(1)(b) GDPR, as it is necessary for the implementation of pre-contractual measures taken in response to your application.

Insofar as special categories of personal data (e.g., information on severe disabilities) are processed, this is done on the basis of Article 9(2)(b) GDPR for the exercise of rights under labour law and social security law.

In individual cases, e.g. for inclusion in an applicant pool or for longer storage of your documents, processing is carried out on the basis of your consent in accordance with Article 6(1)(a) GDPR. Consent that has been given can be revoked at any time with effect for the future without affecting the lawfulness of the processing carried out until the revocation.

In addition, processing may be carried out on the basis of our legitimate interest in accordance with Article 6(1)(f) GDPR, e.g. to defend against legal claims in connection with the application process. Our interest lies in the proper defense against any legal claims.

Your personal data will be processed within our company exclusively by the departments involved in the application process, both at the US parent company and, if applicable, at the German subsidiary.

As part of the application process, it may be necessary to transfer personal data to our parent company in the United States of America (USA). From the perspective of the European Union, the USA is currently not considered a country with an adequate level of data protection within the meaning of the GDPR.

In order to ensure an adequate level of data protection, we have put in place appropriate safeguards in accordance with Art. 46 GDPR, in particular by concluding EU standard contractual clauses (SCCs), supplemented by additional technical and organisational measures. A copy of the safeguards can be obtained from the data protection officer upon request.

In addition, we may use external service providers (e.g. providers of applicant management systems, IT service providers) in the context of the application process, who have also been contractually obligated as processors in accordance with Art. 28 GDPR.

Your data will always be processed for specific purposes and in compliance with the applicable data protection regulations.

If you are successful, we will securely retain the personal data you provide during the application process as part of your employee file for the duration of your employment plus ten years for all payroll-related documents and six years for all other documents following the end of your employment.

If you are unsuccessful at any stage of the recruitment process, the information you have provided is deleted within 6 months from the closure of the recruitment campaign unless otherwise required by local law. We retain your information in case any queries or issues arise in relation to the recruitment process. Additionally, if a suitable position were to arise within Mouser within the 6-month time-period, we will invite you to reapply.

As a data subject, you have the following rights under the GDPR:

  • Right to information (Art. 15 GDPR): You have the right to know whether and what personal data we process about you and for what purpose.
  • Right to rectification (Art. 16 GDPR): You can request the rectification of inaccurate personal data or the completion of incomplete personal data.
  • Right to erasure (Art. 17 GDPR): You have the right to request the erasure of your personal data, in particular if it is no longer necessary or you have revoked your consent.
  • Right to restriction of processing (Art. 18 GDPR): Under certain conditions, you may request that the processing of your data be restricted.
  • Right to data portability (Art. 20 GDPR): If the processing is based on consent or a contract, you have the right to receive your personal data in a structured, commonly used, and machine-readable format.
  • Right to object (Art. 21 GDPR): You have the right to object to processing based on our legitimate interest for reasons arising from your particular situation.
  • Right to withdraw your consent (Art. 7 para. 3 GDPR): If the processing is based on your consent, you can withdraw it at any time with future effect. The withdrawal can be made informally by email to DPO@mouser.com. The lawfulness of the processing carried out until the withdrawal remains unaffected. A withdrawal means that we can no longer consider your application.
  • Right to lodge a complaint with a supervisory authority (Art. 77 GDPR): If you believe that the processing of your personal data violates the GDPR, you can lodge a complaint with a data protection supervisory authority. The supervisory authority responsible is usually the supervisory authority of your place of residence, your place of work or the place of the alleged violation.

To exercise your rights, you can contact our data protection officer at DPO@mouser.com at any time. We may need to verify your identity to prevent unauthorised access to your data.
